Due to the nature of our business, the hotel receives a large volume of boxes to our hotel.  We ask your assistance by strictly adhering to our shipping and receiving policy.  This will allow us to efficiently deliver boxes and packages for your group, exhibitors and attendees. Based on the volume of items being received and transporting additional charge may be incurred.

The following rules apply to all boxes shipped to the hotel:

  • The Hotel is not responsible for items shipped to guest and reserves the right to refuse delivery.

  •  A labor charge will be assessed if the Hotel’s assistance is required in unloading vehicles and/or
     moving items to storage areas.

  • The Hotel must be advised if there are any items weighing over 100 lbs. that will be displayed in any function room or area.

  •  All shipments should be received no sooner than 3 days prior to the conference.

The Hotel accepts no responsibility for the return of packages or shipments at the conclusion of your function.  These arrangements can be made through the Concierge or your Catering/Convention Services Manager.

To have your boxes delivered onsite:

  • Contact the Shipping and Receiving Department through the Meeting Concierge or your Catering/Convention Services Manager. 

  • A Convention Services Staff Member will deliver the boxes to your meeting room

  • Please note: Boxes will not be delivered unless an authorized recipient for your group is there to receive the packages.  This is necessary to confirm delivery of shipment.

  • Please note that DHL can store and deliver your items to the hotel prior to your event upon request.

  • Please have your tracking numbers available onsite to help locate your packages.

    Due to limited storage space, we request your notification of any materials to be shipped to the Hotel prior to your arrival.

PACKAGES FOR VENDORS/EXHIBITORS:

We strongly recommend using a drayage or exhibitor company to handle package delivery for your vendors or exhibitors.  Your Catering or Convention Services Manager can supply you with a list of exhibit companies. 

NOTE: If an exhibit company is being used, boxes and materials are to be shipped directly to the exhibit company

If your group is not using an exhibit company, please include the attached Shipping and Receiving Exhibitor Form in your exhibitor packets.  This form contains shipping information for exhibitors as well as billing information.

Package delivery fees apply and will be posted to your guest room.

DHL or FedEx CANNOT process packages with a value more than US$1,000 but a broker has to be involved due to local custom restrictions.

Procedure to Port of Spain (INBOUND

·         Should you be interested in this service simply send an email to:

Rodney.Galindo@dhl.com requesting the service

·         Documentation will sent for you to complete

·         Contact will be made by DHL at your origin to arrange a pick up at your location

·         Shipment will be picked up and sent to POS, Trinidad

·         Upon arrival, the shipment will be held in storage at DHL’s facility until your arrival

·         At your request the shipment will be delivered to you at the Hyatt Regency Trinidad, where you will be invoiced shipping charges as well as customs duties and taxes.  (PAYMENT ON DELIVERY).           

·         Hotel Guest must make arrangements with DHL for payment prior to arrival.

·         The Hyatt Regency Trinidad will not pay any charges for your deliveries. 

Procedure out of Port of Spain (OUTBOUND) 

·         DHL personnel will be positioned at the Hotel to assist in completing all the necessary paperwork

·         Once payment is made the shipment will be sent off to your shipping address
